Client Relations & Studio Manager

We are seeking a dedicated Client Relations & Studio Manager to provide comprehensive client‑facing and administrative support to our studio. The ideal candidate will be a master of multitasking, with excellent communication skills, a keen eye for detail, and a genuine interest in building and maintaining client relationships.

Key Responsibilities

Client Relationships & Business Development Support

  • Act as a friendly and professional first point of contact for clients and prospective clients
  • Maintain and proactively update our contact lists / CRM so that client and prospect information is accurate and current
  • Help the team stay in regular contact with existing clients, including scheduling check‑ins, sharing studio updates and coordinating occasional visits or calls
  • Support the smooth completion of projects by coordinating client communications, gathering feedback and ensuring follow‑up actions are carried out
  • Arrange and send project follow‑ups and thank‑you communications (emails, handwritten notes, small gifts, etc.) to nurture long‑term relationships
  • Track the status of active, lapsed and high‑potential clients; flag opportunities to reconnect or share relevant new work
  • Research and identify potential new clients across a range of sectors (e.g. residential development, leisure and visitor destination, heritage etc.)
  • Create and maintain target lists of prospective clients, recording outreach activity and outcomes
  • Support the preparation of proposals, credentials decks and case studies tailored to specific clients and sectors
  • Help coordinate business development meetings, presentations and studio visits, including scheduling, logistics and follow‑up notes

Studio & Administrative Management

  • Manage and organise the schedules and appointments of the Managing Director and senior team
  • Handle correspondence, phone calls and emails, ensuring timely and professional responses
  • Prepare and edit documents, reports and presentations
  • Coordinate meetings, including booking venues, arranging refreshments and preparing materials
  • Assist with project management tasks and timelines, helping the team stay on track
  • Assist with financial matters, including project invoicing and bill payments
  • Maintain office supplies and handle procurement
  • Liaise with contractors and suppliers
  • Assist with travel arrangements and itineraries
  • Perform general office duties as required to ensure the smooth running of the studio

Requirements

  • Proven experience as a Studio Manager or in a similar administrative / operations role
  • Strong client‑facing skills and confidence communicating with clients at all levels
  • Excellent organisational and time‑management skills, with the ability to manage multiple tasks and deadlines
  • Strong written and verbal communication abilities
  • Proficiency in MS Office (Word, Excel, PowerPoint) and other relevant software
  • Comfortable using or maintaining a CRM or structured contact list (or willing to learn)
  • Ability to work independently and as part of a collaborative team
  • High level of discretion and confidentiality
  • Experience in the landscape architecture, engineering, ecology or related sectors is a bonus
  • An interest in business development and helping the studio grow its client base
